The next question is who owns the agents

One team may introduce a knowledge assistant while another adds an enquiry agent. As adoption grows, someone needs to know which agents exist, what they can access and who is responsible for their use.

The practical concern is visibility and control across the organisation. Choosing a tool to build an agent does not by itself settle how the business will oversee every agent.

Understand Agent 365’s role

Microsoft describes Agent 365 as a way to observe, govern and secure organisational agents. Its documented capabilities include central agent visibility, lifecycle oversight and security controls through the Microsoft ecosystem.

Copilot Studio serves a different role: creating agents and workflows connected to business data and systems. The two can be relevant to the same programme, but Agent 365 should not be described as simply another agent builder.

Translate oversight into business questions

Which agents are approved? Who owns each one? Which resources can it reach? Who can change its instructions or permissions? What happens when the owner leaves or a process is retired?

These are planning questions for your organisation. Write down the answers for a pilot even before you need a central governance platform.

Check fit and licensing for your environment

The Microsoft overview states that Agent 365 is generally available for the Commercial segment from 1 May 2026 and licensed per user. Product capabilities and prerequisites must be checked against your tenant and current licensing documentation.

This guide was reviewed on 10 October 2026. It provides an orientation rather than a fixed licensing recommendation. Verify the linked Microsoft sources when planning procurement or deployment.

Prepare an agent register

Start with an inventory recording each agent’s purpose, owner, users, data sources, tools and approval boundaries. Add its evaluation history and support contact. Review whether permissions still match the intended task.

For a business beginning its AI journey, select a bounded use case while designing ownership and access from the start. As the estate grows, use the inventory to assess where central oversight will help.
